Background
A global luxury cosmetics house with a strong presence across Europe and the Middle East hosted a two-day regional brand and client event in Istanbul. The event brought together approximately 120 attendees, including senior brand executives, regional distributors, key retail partners, and invited media from across the GCC region and Europe.
The event was designed to showcase a new product line, reinforce brand positioning, and strengthen relationships with regional partners. Given the high-profile of the brand, execution standards were high, so prompt timing, presentation, and positive guest experience were critical.
The Requirement
The client needed a partner capable of managing travel and on-ground logistics in a way that aligned with a premium brand environment. This included coordinating international arrivals, managing hotel accommodation, arranging airport transfers, and ensuring smooth movement between hotels and the event venue.
The focus was on precision, discretion, and a seamless guest experience, particularly for VIP attendees, with cost control not being a primary driver.
What Utravel Delivered
Utravel managed international travel arrangements for visiting guests, coordinating flights from multiple European, Middle Eastern, and regional gateways. Accommodation was secured at a centrally located five-star hotel, and negotiations were held to ensure consistent room categories and flexible arrival times.
Airport transfers were carefully scheduled and managed using a dedicated ground mobility setup. Arrival times were staggered to avoid congestion, and real-time monitoring allowed adjustments to be made discreetly if flights were delayed.
Utravel worked closely with the event venue to align guest arrivals with rehearsal schedules, presentation timings, and private viewings. All logistics were managed behind the scenes to ensure the client’s internal brand and marketing teams could focus fully on content and guest engagement.
