Regional Consulting Firm Supporting Multi-Country Projects

Background

A regional management consulting firm with offices in Dubai and Abu Dhabi supported advisory projects across Saudi Arabia, Egypt, and Jordan. Consultants travelled frequently, often with short lead times and shifting schedules driven by client availability.

While travel volume was manageable, the unpredictability of changes created pressure on internal coordinators and occasionally delayed confirmations.

The Requirement

The firm needed faster turnaround, clear routing options, and the ability to manage frequent changes without excessive back-and-forth. And while cost reduction was not a priority, responsiveness and clarity were.

What Utravel Delivered

Utravel assigned a dedicated team familiar with consulting-style travel patterns. Requests were handled through a single channel, and itineraries were presented with a small number of clearly differentiated options to speed decision-making.

Held fares were actively monitored, allowing consultants to confirm trips without incurring unnecessary price increases when client meetings shifted.

Commenting on the approach, Duleepa Naveen, Head of the Airlines Desk, said, “Consulting travel moves quickly. The key was giving them clear options immediately, rather than overwhelming them with choice.”

Results

In just three months, average itinerary confirmation times reduced from approximately four hours to under an hour. The number of itinerary revisions per trip decreased slightly as routing options were clearer upfront.

Over six months, travel spend remained broadly stable, while internal coordination improved and peak-period pressure on coordinators reduced noticeably.

Client Impact

Project teams were able to mobilize more quickly, and internal coordinators reported smoother handling of last-minute requests. Travel planning became supportive of project delivery rather than a constraint.
